Post-Submission Activities

Once the proposal is successfully submitted and accepted by the sponsor, there is a post-submission period during which the sponsor will perform their administrative review. PI expectations during this period are outlined below.

Process

  • Monitor Status: Check the status of your proposal in myResearch. The time to hear back from the sponsor can vary. Follow up if you do not receive a response within the expected timeframe.
  • Forward Any Communications or Request from the Sponsor: Send any official communication from the sponsor, including award notifications, to the Office of Sponsored Projects (OSP) at osratgwu [dot] edu as soon as possible, as the Sponsor may have a tight deadline attached to them.
  • Respond Promptly to Urgent Post-submission requests from Sponsor:
    • Note: NIH refers to these requests as Just-In-Time (JIT). Often, the sponsor will require a very short turnaround time to respond to these requests.
    • OSP, as the Authorized Organizational Representative, must provide responses to post-submission requests. These requests may include:
      • Revised budgets,
      • IRB and/or IACUC approvals,
      • Verification of F&A rate agreement,
      • Clarification of other support, or
      • General inquiries to help the sponsor make a determination of whether the project should be awarded.
  • Proposal Decision: The proposal decision process involves the sponsor's final review and results in either an award or a non-award notification.
    • Award Notification:
      • Sponsor may notify you via email. Forward the email to OSP at osp_caoatgwu [dot] edu.
      • If the sponsor contacts OSP directly, OSP will handle the next steps.
    • Award Processing:
      • OSP will move your Funding Proposal to a grant or contract in myResearch and notify you via email.
      • Your award will enter the Award Negotiation stage. For next steps, refer to the Contracts Page.

    Note: PIs cannot sign grants, contracts, or agreements. Only an Authorized Organizational Representative in OSP must negotiate and/or sign awards. Refer to Signing of Contracts and Agreements for more information.

    • Award Notification:
      • Sponsor may notify you via email. Forward the email to OSP at osp_caoatgwu [dot] edu.
      • If the sponsor contacts OSP directly, OSP will handle the next steps.
    • Award Processing:
      • OSP will update the status of the funding proposal record as "Not Funded" in myResearch.

Who can assist me responding to sponsor requests for revised budget/JIT/additional information about my proposal?

Please reach out your designated RST/SRA who assisted with your proposal. They can assist in the preparation and submission of these documents.  If you received the request directly from the sponsor, please forward all official sponsor requests to the Office of Sponsored projects at osp_caoatgwu [dot] edu (osp_cao[at]gwu[dot]edu).  

How long will it take to hear back from the Sponsor?

How do I know if my Proposal is funded?

Sponsors would usually send notifications to inform GW of the decision on a proposal. Sponsor may notify you via email, in which case you should forward the email to OSP at osp_caoatgwu [dot] edu (osp_cao[at]gwu[dot]edu) for processing. If the sponsor contacts OSP directly, OSP will proceed to the contract negotiation or award setup stage depending on the terms and conditions of the award.  You can check the status within myresearch.
